The admin tax

How Repetitive Admin Is Costing Brisbane Businesses Time

Writing up the meeting after dinner. Chasing the thing that went quiet. Rebuilding the same report every month, and typing the same details into three systems that don't talk to each other. It's the work that has to happen, and it's the reason you're still at the desk at nine.

Hours

Lost every week to copying information, chasing updates and routine administration.

Leads

Missed when enquiries and follow-ups depend on someone remembering to act.

Reports

Rebuilt by hand even though the information already exists in your systems.

Systems

Disconnected tools that force your team to enter the same information more than once.

What gets automated

AI Automation Services for Small Businesses

Every business has different friction, so this isn't a menu — it's the shape of the work. Where practical, I work with the tools you already use, rather than introducing unnecessary platforms or complexity.

🌅

Automated Daily Business Briefings

A daily brief that pulls from your systems, inbox and calendar, so the first hour isn't spent working out what happened yesterday.

🗒️

AI Meeting Notes and Action Tracking

Notes captured, decisions and actions pulled out, and the follow-up drafted before you've left the room.

🔁

Automated Customer and Sales Follow-Ups

New enquiries captured, customer details added to your CRM, personalised responses sent and follow-ups scheduled automatically. From Facebook leads to quote reminders, keep opportunities moving without manually chasing every customer.

📊

Automated Business Reporting

The report somebody rebuilds by hand every month, assembled from your own data and ready when it's due.

✉️

AI Email and Enquiry Management

Incoming messages read, triaged and routed, with the routine replies drafted for a human to approve.

🔗

Business System Integration and Data Entry Automation

The same details typed into three places because none of them talk. That's usually the cheapest thing to fix and the fastest to pay back.

📄

AI Document Processing and Data Extraction

Invoices, forms, applications, supplier documents — read, checked and turned into something your systems can use, instead of somebody retyping them.

🏗️

AI Agents and Business Automation Platforms

Sometimes the right answer is putting a proper AI platform in your business first. Then it's not one automation — it's agents and recurring tasks your team can add to without calling me.

Not seeing yours? These are examples, not limits. Bring the task that annoys you most and we'll work out how many hours a week you get back.

Where I work

AI Automation Consulting in Brisbane and South East Queensland

  • Brisbane CBD
  • Northside
  • Southside
  • Moreton Bay
  • Ipswich
  • Logan
  • Redlands
  • Gold Coast
  • Sunshine Coast
  • Toowoomba
  • Granite Belt

Being local means I can sit in your office and watch how the work actually flows, which is usually where the real bottleneck turns up. But none of this depends on proximity — the build and the handover happen just as well over a call, and I work with businesses right across Australia. If you're not in South East Queensland, that changes nothing about what you get.

And yes, that's my own photo at the top of the page — the Story Bridge at sunset, taken from the cliffs above Felons.

How it works

Three Steps to Automating Your Business

1

We talk

We discuss the problem in a free 30-minute call. If you already know what needs fixing, you can go straight to a scoped build — no strategy project required.

2

I build

I agree the scope and fixed price with you, then build and test against real business scenarios. Straightforward builds can often be delivered quickly; larger projects have an agreed timeline.

3

You own it

You get documentation, a walkthrough and the agreed post-launch defect-correction period. Ongoing support is optional.

Choose the right size of solution

AI Automation Pricing: Start Small or Build Something Bigger

You don't need to buy a strategy project first if you already know what needs fixing. Every build is scoped before work begins, with a clear price, deliverables and acceptance criteria. The $1,500 Quick Automation uses straightforward rules: it excludes custom AI decision-making and processing of sensitive data (such as health, financial or identity records), which belong in the higher tiers.

A specific, straightforward task

Quick Automation

$1,500 + GST

Automate one well-defined task without adding unnecessary complexity.

  • One trigger and one defined workflow
  • Up to two connected systems
  • Simple rules, testing and documented handover
  • 14 calendar days of post-acceptance defect correction

Not included: Custom AI decision-making, sensitive data processing, complex integrations, new features or ongoing monitoring.

Complex or business-critical work

AI Agent & Connected Systems

$7,500–$20,000+ + GST

Tailored AI agents and connected systems designed around more complex business requirements.

  • Multiple integrations and advanced decision logic
  • Document workflows and appropriate data controls
  • Human oversight, exception handling and more extensive testing
  • 30 calendar days of defect correction and up to two hours of post-launch assistance

Indicative range only. Complex implementations may exceed $20,000; the final project is individually scoped.

Discuss a Larger Project →

Software subscriptions, API usage and other third-party charges are separate, paid by the client and disclosed during scoping. All tiers include agreed testing and handover. Support covers defects against the agreed scope, not additional features.

What you can expect

Clear Scope. Your Systems. No Surprises.

  • Fixed scope, fixed price. We agree on deliverables and testable acceptance criteria before the build. If delivering the agreed scope takes me longer than expected, that extra delivery time isn't added to your bill.
  • Payment linked to delivery. Quick Automations and Connected Workflows are paid 50% upfront and 50% on acceptance. Larger projects use agreed milestones, typically 40% / 40% / 20%, with the final payment on acceptance.
  • Time to test. You have five business days after delivery to test against the agreed acceptance criteria and report any gaps. I'll correct confirmed in-scope defects without additional fees.
  • You own the solution. Wherever practical, it's built in accounts you control, with a plain-English handover and documentation. No compulsory ongoing Headway Co retainer.
  • Software costs are transparent. Third-party subscriptions and AI usage are separate. Some straightforward setups may cost around $50–$300 a month, but actual costs vary and are discussed before you commit.
  • Defined aftercare. Included post-launch defect correction is 14 days for Quick Automations and Connected Workflows, or 30 days for larger AI systems. Enhancements and ongoing monitoring are separately quoted.
Questions owners ask

Frequently Asked Questions About AI Automation

How much does AI automation cost?

A Quick Automation is $1,500 + GST for one defined workflow with one trigger and up to two systems. Connected Workflows start at $3,950 + GST. Complex AI agents and connected systems are individually scoped, typically in the indicative range of $7,500–$20,000+ + GST. Third-party software and usage costs are additional. See all Headway Co pricing.

What can I get for $1,500?

One straightforward automation: one trigger, up to two connected systems and simple rules, with testing, handover and 14 days of defect correction. It does not include custom AI decision-making, sensitive data processing, complex integrations or ongoing monitoring.

How long will my project take?

It depends on the scope and access to your systems. Timing depends on the scope and how quickly I get access to your systems. I confirm the delivery schedule in writing before work begins.

What if I don't know what to automate?

We can start with a free call. If you need a structured assessment of your opportunities, the AI Readiness Day provides a prioritised roadmap. You do not have to buy a Readiness Day to commission an automation.

When do I pay, and how do I accept the work?

Quick Automations and Connected Workflows are generally 50% upfront and 50% on acceptance. Larger projects typically use 40% / 40% / 20% milestones. We agree measurable acceptance criteria in writing before the build; you have five business days after delivery to test against them and report any in-scope defects for correction.

What happens if something breaks after launch?

Quick Automations and Connected Workflows include 14 calendar days of post-acceptance defect correction; larger AI systems include 30 days. This covers failures to meet the agreed scope, not new features, changed requirements, third-party outages or ongoing monitoring. Optional support can be arranged separately.

Do I own the automation and need an ongoing contract?

Wherever practical, the automation is built in accounts you control, with documentation and a handover. There is no mandatory ongoing Headway Co retainer. You remain responsible for third-party subscriptions and usage charges.

Is my business data safe?

Data sensitivity, access permissions, storage, security and any relevant obligations are assessed during scoping. I select and configure tools to suit the agreed requirements and identify where additional safeguards or specialist review are needed. Sensitive-data projects are not part of the $1,500 Quick Automation tier.

Do you only work with Brisbane businesses?

No. I'm based in Brisbane and work with businesses across South East Queensland and Australia. Scoping, implementation and handover can also happen remotely.
